LedgerVia
For service businesses that work in the field

From work to books.

Snap the receipt, tag the job, log the time. LedgerVia keeps every purchase tied to the work it was for, so you know what each job really costs — without a shoebox of receipts at the end of the month.

Three steps. One app.

No more guessing which job a charge was for, or chasing receipts weeks later.

1

Snap the receipt

Take a photo at the counter. Your iPhone reads the store, date, total and tax right on the phone. Check it, pick the job, done.

2

Tag the work

Card charges, time and purchases each get a job, a service customer or general overhead — with one tap, from the field.

3

See the numbers

Each job shows its invoices, costs to date and receipts in one place, so the owner and the bookkeeper see the same picture.

Built for the way field work really happens.

Everything your team needs to keep receipts, time and job costs straight — on the phone they already carry.

📷

Snap receipt

The iPhone reads the store, date, total and tax on the device — the photo is never sent anywhere to be read. A company-card receipt is matched to its bank charge automatically when the charge arrives.

📥

Smart Inbox

One list of what needs you: card charges to tag, receipts to add, time and expenses to approve, and invoices to review. Answer it and it's gone.

🧰

Jobs and job costs

Every job keeps its invoices, purchases and receipts together. Owners and partners see revenue, costs to date and estimated profit before labor.

⏱️

Time

Clock in or add hours to a job, a service customer or office time. Submit the week, and the owner approves and locks each pay period.

💵

Reimbursements

Paid with your own card or cash? Snap it as "reimburse me". Each month adds up by job and category, gets approved, marked paid, and can be shared as a report or CSV.

🚨

Critical issues

A short list on Home of the things that can't wait. Assign it, add notes, delay it with a reason, and mark what fixed it.

Works with Scopevia

Using Scopevia for proposals? Link the two apps and invoices and new-job requests arrive in LedgerVia, with customers and site contacts kept in step.

QuickBooks Online is optional and read-only. If your company uses QuickBooks Online, the owner can connect it. LedgerVia then reads your card and bank purchases about once an hour and sends each card charge to the card holder's Smart Inbox to tag to a job. LedgerVia only reads: it never creates, changes or deletes anything in QuickBooks, and the owner can disconnect at any time. You don't need QuickBooks to use LedgerVia.

Questions

Do my employees need their own account?

Yes, each person signs up with their own email and joins your company with an invitation. Employees see only what they need — their own time, receipts and the jobs they can work on — while money details stay with the owner and the people you choose.

Where do receipt photos go?

The text on the receipt is read on your iPhone itself. The photo is then saved privately with your company's records so you have proof of the purchase; only people in your company with the right role can open it.

Do I need QuickBooks?

No. LedgerVia works on its own. If you use QuickBooks Online, the owner can connect it so card charges show up automatically — read-only, so nothing in your books is ever changed by LedgerVia.

Does it run payroll or file taxes?

No. LedgerVia tracks and approves hours and keeps receipts and job costs straight. Payroll, taxes and your books stay with your bookkeeper and the tools you already use.

Is it only for security installers?

No. It started at a security and low-voltage company on Maui, but it fits any business with crews in the field: contractors, installers, landscapers, cleaners and other service pros.
