LedgerVia ("we", "us") is an app that helps service businesses keep receipts, card charges, time, reimbursements and job costs tied to the work they were for. This policy explains what information LedgerVia handles and how. LedgerVia is operated by Aloha Secure on Maui, Hawaii.
Your account: your name, email address and password (stored securely as a hash; we never see it). Your company: business name, team members and their roles, company card labels with only the last four digits, and settings. Your work: customers and contacts, jobs and service contracts, time entries, expenses, reimbursements, notes and critical issues you create in the app.
When you snap a receipt, the text (store, date, total, tax and the last four digits of the card) is read on your iPhone using Apple's built-in text recognition. The photo is not sent to any service to be read. The photo is then stored privately with your company's records as proof of the purchase. Receipt files are never public: only signed-in people in your company with the right role can open them, through short-lived links.
If your company's owner connects QuickBooks Online, LedgerVia reads company information and purchase transactions (date, payee, amount, payment type, account name and memo) so card charges can be matched to receipts and jobs. LedgerVia only reads data: it does not create, change or delete anything in QuickBooks. QuickBooks connection tokens are encrypted and kept on our servers only, never on the phone. The owner can disconnect at any time from the Integrations screen, which revokes access. On request, we will delete stored QuickBooks data.
LedgerVia never asks for or stores bank logins, full card numbers or card security codes. We do not process payroll, payments or taxes.
Only to run the app for your company: store and sync your data across your team's phones, match receipts and charges to jobs, show job costs and reports, and provide support. We do not sell personal information, and we do not use it for advertising.
We use trusted providers to run LedgerVia: Supabase (secure database, file storage and server functions, hosted in the United States, AWS us-east-1), Cloudflare (this website), Expo (app updates, which contain no customer data) and Apple TestFlight and App Store to deliver the app. If you choose to connect them, LedgerVia exchanges data with Intuit QuickBooks Online (read-only, as described above) and with Scopevia (invoices, new-job requests, customers and their site contact). These providers process data only to provide their service.
Only people in your company you invite, with the role you give them, can see your company's data. Employees see what they need for their own work; money details are limited to the owner and the roles you choose. Each company's data is kept separate from other companies'. We access your data only to provide support you ask for, to keep the service secure, or when the law requires it.
We keep your data while your account is active, because receipts, time and financial history are business records. To delete your account and company data, email us at the address below.
Data is encrypted in transit, access is limited by company and role on the server, and connection tokens are encrypted. No system is perfectly secure, but we work to protect your information.
LedgerVia is a business tool and is not intended for children under 13.
If we change this policy, we'll update the date above and, for important changes, let you know in the app.
